1. Scope of This Policy
This policy applies to payments for services provided by
CoreVative, including:
- Website design and development.
- Website redesign.
- Landing pages.
- Website maintenance.
- Local SEO.
- Digital marketing and advertising management.
- Analytics and conversion tracking.
- Content and related digital services.
- Recurring digital support.
A signed proposal or service agreement may contain additional
project-specific terms. Where a conflict exists, the relevant
documents must be interpreted in accordance with their agreed
order of precedence and applicable law.
Mandatory legal rights always take priority over a conflicting
policy term.
2. Quotes, Deposits, and Payment Schedules
Each project will have an agreed price, payment schedule, and
scope.
Depending on the project, the payment structure may include:
- An initial deposit before work begins.
- One or more milestone payments.
- A final payment before handover or launch.
- Monthly advance payments for recurring services.
- Separately billed third-party costs.
The applicable proposal will state the amount and due date for
each payment.
A deposit is intended to reserve project capacity and cover agreed
initial work and commitments. It is not automatically
non-refundable in every circumstance. Refund entitlement depends
on the contract, work performed, applicable cancellation rights,
and the law.
We will not claim that a deposit is forfeited in circumstances
where the law requires it to be refunded.
3. Website Development Projects
Website projects involve planning, design, development, revisions,
testing, and other professional work.
If a client requests cancellation after work has begun, we will
assess:
- The project stage.
- Work completed up to the effective cancellation date.
- Approved milestones and deliverables.
- Payments already made.
- Any agreed and lawful cancellation charges.
- Any approved third-party commitments.
- Applicable statutory cancellation or refund rights.
Where a refund is due, it will be calculated in accordance with
the applicable agreement and law.
We will not automatically treat the entire project fee as earned
merely because a deposit was paid.
Where the contract provides for payment by milestones, we will
apply those terms subject to applicable law and any required
adjustments.
4. Recurring Monthly Services
Recurring services may include website maintenance, local SEO,
digital management, reporting, and other agreed ongoing
activities.
The applicable agreement will specify the monthly fee, billing
date, included scope, and cancellation notice period.
Unless the agreement states otherwise and the arrangement is
lawful, cancellation takes effect according to the agreed notice
period and billing cycle.
Fees for services already supplied remain payable, subject to the
contract and applicable law.
If a client has paid in advance for a period after services have
validly ended, we will assess whether any refund is due under the
agreement and applicable law.
We will not retain prepaid fees for undelivered services where a
refund is legally required.
Third-party subscriptions may have separate billing and
cancellation conditions. We will identify such costs where they
form part of the agreed arrangement.
5. Cancellation Before Work Begins
If you request cancellation before substantive work has begun,
contact
hello@corevative.com as
soon as possible.
We will review the applicable contract, any statutory cancellation
rights, the work already undertaken, and any reasonable, agreed,
and lawful commitments incurred.
Where a refund is due, we will calculate the amount after applying
any lawful contractual deductions.
A cancellation request does not automatically entitle either party
to retain or recover a particular amount regardless of the
circumstances.
6. Cancellation After Work Has Begun
If you cancel after work has begun, we will review the work
completed, approved milestones, deliverables produced, and
applicable agreement.
The final amount payable or refundable will depend on the
contract, the actual work performed, any lawful cancellation
charges, and applicable statutory rights.
Where appropriate, we may provide a summary of the work completed
and the payment calculation.
We will not impose an undisclosed cancellation fee or an unlawful
penalty.
7. Defects, Errors, and Agreed Revisions
If a delivered website or digital deliverable materially fails to
meet the agreed specification, please contact us with a
description of the issue and any relevant supporting information.
Where the issue falls within our agreed responsibilities, we will
assess it and take the corrective action required by the agreement
and applicable law.
Reasonable revisions included in the proposal will be handled
according to the agreed revision process.
A request for additional functionality, a new design direction, or
work outside the agreed scope may require a separate quotation.
We will distinguish between a defect in agreed work and a request
for new or additional work.
8. Circumstances That Do Not Automatically Qualify for a Refund
The following circumstances do not automatically create a refund
entitlement, although each request will be assessed on its facts
and under applicable law:
- A change of preference after approved design work.
- A request for features outside the agreed scope.
-
A client's failure to supply content or approvals on time.
-
Dissatisfaction based solely on an outcome that was never
guaranteed.
-
Search engine rankings or advertising results that differ from
an estimate.
- A change in the client's business priorities.
-
Delays caused by client-controlled access, content, or
approvals.
This section does not remove rights arising from defective work,
breach of contract, statutory cancellation rights, or other legal
protections.
9. Digital Marketing and Advertising Fees
Digital marketing services may include campaign planning, setup,
management, content, optimisation, and reporting.
Where services have been performed in accordance with the
agreement, fees for that work are assessed under the agreed
payment terms and applicable law.
Advertising spend paid directly to Google or another platform is
separate from CoreVative's management fee unless the proposal
explicitly states otherwise.
Third-party advertising spend may be subject to the platform's own
billing, refund, and credit policies. CoreVative cannot promise a
refund from a third-party platform.
If CoreVative has collected an advertising budget on the client's
behalf, the handling of unused funds will be governed by the
applicable agreement, accounting records, platform charges, and
law.
We will not describe third-party advertising expenditure as a
CoreVative service fee.
10. Third-Party Costs
Third-party expenses may include domain registration, hosting,
premium plugins, software subscriptions, licensed assets, payment
processing, advertising expenditure, and external integrations.
Before incurring material third-party costs on your behalf, we
will explain the expected expense and obtain the required approval
under the applicable agreement.
Refunds of third-party charges depend on the provider's terms and
applicable law.
Where CoreVative is not the recipient of a third-party payment, we
cannot promise that the provider will issue a refund.
If CoreVative has collected and remitted a third-party payment, we
will explain any amount received back from the provider and handle
it according to the agreement and applicable law.
11. Statutory Cancellation and Consumer Rights
Some clients may have statutory cancellation, withdrawal, refund,
or other rights depending on the type of contract, the manner in
which it was formed, the client's legal status, and the applicable
jurisdiction.
For example, certain distance or off-premises contracts with
consumers may be subject to statutory cancellation rules. Services
that begin during a cancellation period may require specific
information, consent, acknowledgements, or other formalities.
The precise rules depend on the applicable law and circumstances.
Nothing in this policy is intended to exclude or restrict a
statutory right that cannot lawfully be excluded or restricted.
If a statutory cancellation right applies, we will follow the
applicable requirements rather than relying solely on this general
policy.
12. How to Request a Refund
To request a cancellation or refund, email
hello@corevative.com.
Please include:
- Your full name.
- Business name.
- Invoice number, if available.
- Relevant project or service.
- Payment date and amount.
- The reason for your request.
- Any supporting information relevant to the issue.
We may request additional information reasonably necessary to
verify the payment or assess the request.
We aim to acknowledge refund requests within five business days.
The time required to reach a decision depends on the
circumstances, the agreement, and any information needed to assess
the request.
We will communicate our decision and, where a refund is approved,
explain the amount and expected processing steps.
13. Refund Processing
Approved refunds will ordinarily be returned using the original
payment method where reasonably possible and lawful.
If the original method is unavailable, we will agree on a
reasonable alternative payment method with the client.
Any applicable statutory deadline takes priority over the general
processing approach described here.
The time taken for funds to appear in the client's account may
depend on the bank, payment processor, payment method, and
currency.
Any currency conversion or non-refundable processing charge will
be handled according to the agreed payment terms and applicable
law.
We will not delay a legally required refund merely because an
internal review is inconvenient.
14. Disputed Payments and Chargebacks
If you believe a payment was incorrect, duplicated, unauthorised,
or inconsistent with the agreement, contact
hello@corevative.com so
that we can review the issue.
Please provide the relevant invoice or transaction details.
We will investigate in good faith and provide relevant supporting
information where appropriate.
Nothing in this section prevents you from exercising any lawful
right to dispute a payment or contact your payment provider.
We will not penalise a client merely for raising a genuine
dispute.
15. Policy Changes
We may update this Refund Policy to reflect changes in our
services, billing arrangements, or legal requirements.
The latest version will be published on this page with an updated
date.
Changes to an existing contract will be handled in accordance with
that contract and applicable law.
